Administrative Assistant


This is a Contract position in Sarnia, ON posted August 3, 2022.

The successful applicant will work in compliance with all relevant and applicable legislation and Hospital Policies and Procedures, will practice the Bluewater Health Standards of Performance Excellence and will fulfill their role within the Attendance Support Program parameters. The successful applicant will also possess effective communication and interpersonal skills, will have the ability to work independently and as part of a team, and will have strong attention to detail and accuracy.

-College Diploma in Office Administration required
-College Diploma in Office Administration – Executive preferred

Skill, Ability and Experience:

-Three years recent experience in an Administrative Assistant role preferred
-Proficiency in executive office processes, including calendar and e-mail management, required
-Demonstrated proficiency in MS Office (Word, Excel, Outlook, OneNote, PowerPoint, and Access) required
-Knowledge and application of meeting procedures and processes required
-Ability to set and balance priorities, plan, organize, execute duties, and meet multiple deadlines required
-Highly developed critical thinking skills, decision-making, conceptualization, balance priorities and meets deadlines required and problem solving ability required
-Ability to condense complex discussion into accurate, legally binding motions/minutes of corporate meetings required
-Ability to maintain discretion and strict observance of confidentiality required
-Recent experience in a hospital/healthcare environment preferred
-Extensive working knowledge of hospital operations and structures, healthcare environment, practices and structures preferred
-Knowledge of Medical Terminology preferred

Principal Duties:

-Performs general administrative duties
-Provide administrative support to the Director/Manager/Medical Director of Rural Health and Inpatient Medicine
-Provide support for various Committees, including booking rooms and arranging for room set up and equipment
-Liaises with Physicians’ offices
-Prepares correspondence and reports for Program Director
-Assists in preparation of Agendas, types and distributes Agendas and notices of meetings; takes Minutes of selected meetings
-Assists in preparation of presentations
-Assists with staff scheduling and locking pay periods
-Opens and routes daily incoming mail; orders department supplies; troubleshoots photocopier/fax as required
-Completes payment requisitions
-Other related duties as assigned
